Dean of Students

As a Dean of Students the buck stops at you so you certainly have a full plate dealing with student issues, ensuring that you have the necessary resources to allow your students to succeed and grow, both personally and professionally. You worry if staff are doing enough for the students to see them graduate and whether the school community is supportive and putting the needs of the students first.

With enough things to worry about, the last thing you want is to waste precious time looking for information you need in multiple different places. Polygon gives you a platform where you can find all the information you need about student issues, what resources students are using and what needs to be improved. Polygon gives you your time back so you can focus on being present and supporting your students and staff.

Director of Residence Life & Housing

Leading a smooth residence life operation and engaged community is a challenge like no other. You have to move mountains behind the scenes to ensure students have a safe second home, manage student and professional staff and support your students through their brightest and darkest moments. The residence halls are a significant source of income for the university and have an impact on the success of the students living within them.

The Polygon platform gives you the tools you need to be able to know exactly what’s going on in your Residence Halls and what to do about it. One of the major hurdles that come with being a Director of Residence Life is ensuring you have an efficient way to match roommates and allocate them to rooms that prevents time-consuming and costly roommate conflicts. Polygon reduces the stress that comes from these processes by using a scientific approach to match roommates that utilises personality and preference into consideration and auto-allocates them with the click of a button. Polygon puts maintenance for all residence halls in one place and allows the creation of the actionable reports you need to have safe and well maintained facilities.

Housing Administrative Assistant

Providing administrative support for the Residence life department is what being a Housing Admin Assistant is all about. As a HAA may be asked to do, anything from maintaining records to collaborating with different departments. You worry about having accurate data so you can easily get in touch with the student that you need to. Are the projects that they are involved with going to benefit students, are we doing enough to help our students succeed?

The overall goal of all staff in residence life is for their students to succeed and that’s what Polygon is here to help. Polygon helps to maintain student housing files in an intuitive way that helps to save time so you can focus on working with your students. Creating maintenance reports can be a tedious task, especially when in residence halls but Polygon has made this a central part of the product so you can easily find the information you need to track maintenance to support you and the team you support.

Housing Operations Assistant

The main part of their role is to check for any required maintenance and track it while filing paperwork required for when students return to campus for the fall. There is typically a limited number of HOAs which means that they need to be efficient with how they spend their time so they can complete the work required. The majority of the role rotates around the ability to keep track of various amounts of paperwork which can become tedious especially as campus size increases.

Polygon is the perfect tool for HOAs to keep track of your  paperwork during the summer months. The maintenance feature allows you to file work orders when they see it and are able to track it from start to finish all in one place without needing to comb through stacks of paper. Before students return in the fall, Room condition reports need to be completed for every room within the residence halls which can be time consuming and difficult to keep up with that many forms. Polygon puts the RCR’s in one place without the need to carry around a clipboard and dozens of forms to complete the same task.

Facilities Director

Managing the maintenance and development of all buildings and grounds on a university campus can be a difficult task. Managing and evaluating staff, maintaining budgets and keeping track of assets and their condition can be stressful. You want your students to have the facilities they need to be successful and to have a safe campus that people want to spend time on.

Polygon has been developed to give you the tools they need to easily manage your residence halls. You can track tasks, evaluate staff through how many tasks they have assigned and completion times. As a Facilities Director, reports are a large part of your role, Polygon has a tool set that allows you to instantly create actionable reports  to ensure that you’re getting the most out of your team and your assets.

Facilities Administrator

As the Facilities Administrator is the point of contact between the Facilities department and the rest of the university. You have the challenge of moving mountains behind the scenes to ensure that maintenance tasks are completed, gather data for report generation and asset management. You empower the Facilities Director and personnel to ensure that the jobs are completed on time and the campus is safe for students, staff and faculty.

Polygon has simplified the task of assigning work orders to maintenance team members and tracking the progress and completion times for each one. You know have instant access to a wealth of information to help your team to make decisions around staff, projects and maintenance.

Facilities Personnel

As facilities personnel you are on the frontline in ensuring that the campus is a safe home away from home for students. No two days are the same and having the right tools for the job can mean more than the ones in your toolkit.

Knowing what work orders you have for the day is important so you can take the tools you need with them, this is what Polygon has built for the Facilities personnel. Polygon has a dedicated interface for Facilities Personnel where they can see their assigned tasks, where they need to be while keeping them accountable by using a timer. We want to help Facilities Personnel be successful in their role while holding them accountable which is what people need. By being able to track their tasks, they can see what tasks they have done in the past and can tell if they have been there before. All this can be done from their phone wherever they are which allows everyone to see progress on tasks.

Resident Director

As a Resident Director you are responsible for all aspects of the residence halls under your purview. Everything from maintenance, student conflicts and RA management. You want your residence halls to be somewhere students want to be, a place where they can socialise together, study before an exam (hopefully not just the night before) and become their home away from home. You spend every day doing your best to build an inclusive and supportive environment where students are comfortable to be themselves and grow.

You have vast amounts of information and admin to keep up to date and all this can take time away from helping your Resident Assistants build engaged living communities on each floor. Polygon is an RD’s best friend. You can keep your information up to date by linking with the Student Information System, which helps to ensure that all staff have real-time access to the same information which will help in daily running of the halls; especially in times of crisis. You can answer any questions students have using the Helpdesk feature which helps you make sure students are aware of all the resources available for them on campus. Along with communicating with students, maintenance is a significant part of managing a building, and keeping track of what’s done, how long it took and being able to identify trends is something that is presently time consuming to track so Polygon has brought this together in one simple and intuitive platform.

Resident Assistant

While wanting to have new experiences and grow both personally and professionally, as a  Resident Assistant you get a greater sense of responsibility than your peers. You are the first point of contact with students to the Residence Life Team. You are the one they go to when they  have questions, when they need a friend, or just want someone to talk to. You have so many so many responsibilities that it can sometimes be  difficult to remember that you are also a student. Along with being there for your students, you also need to develop a community and be a positive role model for all students. This can be a challenging task that requires disciplined time management and the social skills necessary to be able to involve different personalities within the community.

You have so many things to worry about between classes, sport, activities and your residents. A big part of the the role of an RA is to get to know each of your residents which can be difficult due to the number of residents that you need to get to know, Polygon is a great tool to help you get to know your residents, what things they are interested in and how to approach them if they struggle in large groups. Managing a building is a big job and you have to be on hand to help your Resident Director by keeping an eye on what repairs are being done and what stage they are at which Polygon allows you to do intuitively.
